Osmvideo.cloud68.co - Recent change regarding recordings

Background

Since 2020 the OSMF board uses a BigBlueButton instance hosted by Cloud68 at https://osmvideo.cloud68.co for the video-meetings. The board also decided to make the instance accessible to the community for OSM meetings. Registration is open and is not linked to OSM accounts.

The change

Osmvideo accounts now require explicit permission to record meetings. This permission has already been granted to members of the OSMF Working Groups.

How it might affect you

If you are organising OSM meetings on osmvideo.cloud68.co and wish to record them, your osmvideo account will need to be updated. Please send me a message at dorothea and then osmfoundation.org with the subject: [osmvideo.cloud68.co] Change of account to record OSM community meetings.

Please note that recordings should not be stored on osmvideo for too long, as they will get deleted. It is recommended to download them locally.

Why the change was made

Our hosting provider informed us that we were nearing our server storage capacity. Upon looking into the issue I discovered that several people were using osmvideo to record meetings for non-OSM purposes, such as language lessons. Emailing these users and removing the recordings and the accounts did not solve the issue, as they continued creating new osmvideo accounts, hence the change.
